Jeanie Hetrick welcomed everyone to the meeting and Byron Sheets began with prayer. Since there were new attendees at this meeting, self-introductions were conducted.
Referring to the Meeting Agenda, the following was discussed:
Review of PTF Meeting Minutes from November 6th by Jeanie Hetrick.
Review of the following highlights of the GFA Board Meeting Minutes from the November 20th meeting by Jeanie Hetrick:
- Jeanie requested that the GFA Board Members attend the PTF Meeting annually in November.
- A parent requested an update on the planning of the playground equipment.
- A parent has offered to work on the repair of school busses. This individual is experienced in auto mechanics.
- The PTF will assign a representative from the PTF to conduct devotions at the July GFA Board Meeting.
- The new form “Suggestions for PTF Volunteer Projects” was distributed to the Board members and Administration. Completed forms should be forwarded to Debbie Swanson via the PTF Suggestion Box located in the school office. It was recommended that as suggestions are received they be posted on the school webpage.
- New inquiry: Students who are in kindergarten or first grade cannot volunteer time towards the family service hours.
- Last month’s inquiry concerning teaching Spanish for kindergarten and first-grade students: Jeanie Hetrick reported that Mrs. Roberts is willing to teach the young students Spanish learning one word or sentence per week beginning in January 2007. There is a parent willing to fund this project if needed.
- Jeanie reported that she attended the Mom’s In Touch Prayer Group and enjoyed it very much. She noted that it is an International Program where many groups utilize the same format of reviewing the same Bible verse and sharing their own personal message. This group meets at GFA every Friday from 8:30 AM to 9:30 AM in the Elementary Choir Room.
- A parent inquired about the status of the updates concerning the Student-Parent Handbook. The Student Affairs Committee is working on updating the handbook and will publish the new version as soon as possible. Until further review, all policies will revert to the previously approved 2004-05 handbook with the exception of the detention and tardy policies, which will continue to follow the current 2006-07 handbook.
- A prospective new employee that would set up the Development of the School presented a plan to the Board members. The Board is interviewing this individual at this time.
- Glenn Koch, board member, discussed changing the current Capital Campaign to an Endowment Campaign for the future of GFA’s finances. A $200,000 donation (received from a few sources) will be earmarked for the Endowment Campaign. An Endowment Committee will need to be formed to work on this campaign and will have a goal of reaching $1,000,000 by 2008.
- Building safety was discussed. Several doors in the school require new crash-bar locks and are in the process of being replaced.
- The Life Quest books for 9th and 10th grade Bible classes is being used and working out well.
- The Junior and Senior College Fair was well attended.
- GFA teachers will determine three personal goals to attain and will use this as part of their evaluation process.
- Senior GFA Students are reminded to work on their volunteer hours and to check with Deidre Brown on your status.
- Two new students have joined GFA in the month of November.
- Judi Magee provided an update concerning GFA Alumni. The Dollar-a-Year Campaign has currently received $10,158. An alumnus made a referral that resulted in GFA receiving two microscopes for the HS Science Class. Providence Hospital from Portland, OR made this great donation to our school.
- Brenda Butler is responsible for the GFA website – refer to: www.greenleafacademy.org
- Maxene Brown reported for the Finance Committee. The Harvest Dinner net profit this year is $4,590 as compared to $4,530 in 2005 and $2,771 in 2004.
PTF Suggestions Review:
The following suggestions were submitted and will be posted to the GFA Website under “Volunteer Projects”. This is a great way to work on your service hours for the school year. Please note that these projects do not need to be formally organized as a family work day.
- Irrigation needs to be added
- Shelves are needed in music room
- Jr. High Boy’s Locker Room needs cleaning
- Add a roof between the Elementary and High School
- Downstairs carpet needs replacing – a suggestion at the meeting was mentioned that a stained concrete floor for this area might be a good alternative to new carpet.
- Refurbish boy’s locker room
- Make phone calls to remind everyone about monthly PTF meeting
- Field needs raking
The above suggestions brought about a discussion concerning use of library time as student detention. This can be viewed as “time for getting caught up on homework or studying”. Discussion was held between parents and PTF members over better utilization of detention time. ACTION: J. Hetrick to discuss with Mr. Sheldon at a meeting scheduled for 12/15/06.
Parents and PTF members also discussed ways to help teachers do their job instead of taking up their time dealing with student’s inappropriate dress. Parents and PTF members were in favor of suggesting that students wear uniforms. ACTION: J. Hetrick to discuss with Mr. Sheldon on 12/15/06.
Julie Douty (GFA board member) and the Student Affairs Committee are currently reviewing the above two topics in an effort to update the Student-Parent Handbook. Jeanie Hetrick spoke to Julie about parent involvement at the committee meetings. Julie will discuss this with the Board members at their next meeting to be held on 12/18/06.
New Business
- The Board is looking for a chairperson to oversee property & maintenance matters.
- JoAnn Behrends, Quaker Village 2007 Auction Chairperson, provided an Auction update.
- Most classes have determined a theme for their class basket.
- From the list of families who have volunteered to work at next year’s auction, one person for each class will be selected to be the contact person for each classroom.
- The PTF is seeking more help to support the Volunteer Committee. If you are interested, please contact Debbie Swanson.
- The next school family workday will be held during the Christmas vacation to do the following work in the boy’s locker room:
Tuesday, December 26: Clean locker room
Wed., December 27: Fix walls needing repair
Thursday, December 28: Paint walls
Friday, December 29: Paint floors
Those who would like to participate in this workday, please contact Jeanie Hetrick to discuss your availability. It would be very helpful if volunteers could bring cleaning rags, buckets, paint brushes, pans, and rollers. Hooks are also needed to be installed onto the wooden shelves in the HS Locker Room.
The next PTF meeting will be on Monday, January 8, 2007 at 7:00 PM in the school dining hall.
